CrewGo Manager Partner Portal User Guide

Section 1: Introduction

The CrewGo Manager Partner Portal provides a full suite of functionalities and features to manage your business. It makes your day-to-day task as easy as possible.

CrewGo Manager Partner Portal provides you with the following key features:

– Automate scheduling and operation
– Book and manage jobs online
– Communicate with staff seamlessly
– Automate timesheets and its approval
– Staff reviews and more

Let’s get started.

Purpose of this User Guide

Welcome to CrewGo Manager Partner Portal! It doesn’t matter if this is your first time using this portal or you’re new to the labour workforce management, we’ll explain the basics and let you get started today.

This user guide aims to simplify the use of CrewGo Manager Partner Portal. This will provide you with a complete step-by-step guide in using the portal, navigation and troubleshooting. Furthermore, this user guide will provide an overview of CrewGo Manager features.

Access to the CrewGo Manager Partner Portal

Get access to the CrewGo Manager Partner Portal by going to the Sign-Up page. This page will take you to the sign-up page, the first step to the CrewGo Manager Partner Portal.

Section 2: Creating an Account

Sign-up / Log-in Page

Create your account in the Sign-Up Page.


CrewGo Manager Partner Sign Up Fields

Before you can start to use the CrewGo Manager Partner Portal, you need to supply information in the sign-up fields. Fields with an asterisk beside them are mandatory fields.

Provide the following information:

Industry: This is the industry where you belong and generally your line of business. In the CrewGo Manager Partner Portal, there are four (4) available industries which you can choose from Construction, Hospitality, Quicker Support, and Logistics

 

Business Name: This is your trading name. The name by which people know your business.

Billing (Contact) Person: The contact person for billing, invoicing and accounting purposes. Basically, this is the person that CrewGo Manager connects with regarding your account.

Contact Phone Number: The contact phone number that you will use for CrewGo Manager Partner Portal.

E-mail: The e-mail address that you will use for the CrewGo Manager Partner Portal. Please use an active e-mail address because this will be used for account verification and activation. Check your spam/junk folder just in case the confirmation got delivered in that folder.

Address: The physical address of your company.

ABN: This is the acronym for Australian Business Number (ABN). Provide your unique ABN in this field.

Logo: Customize your CrewGo Manager Partner Portal Account by uploading your business logo. The logo should be in image format (jpg, png, jpeg). 5 MB maximum size.

Skill: This is the skill that your staff is proficient with.

Sub-skill: The secondary skill under Skill.

Areas Serviced: The location where the skill is needed. Enter the area together with city, state, country and zip code.

Bio: This is the biography of your company. You can add the history and other important information about your company here.

 TIP: Click the ‘+’ to add another skill set.

Pay Period: Select the schedule of payroll period here. It can be weekly, fortnightly, and monthly.

Pay Day: Select the day of paying the payroll for your employees.

NOTE: The monthly and fortnightly option displaying the day of the week is the last week of the month/fortnightly.

Payment Details: Pay for your CrewGo Manager Partner subscription using the payment details entered in this section. The fields for Payment Details include Country Code, Account Name, Account Number, Bank, Swift Code and BSB.

Password: Enter your password here that will be used when logging in to the CrewGo Manager Partner Portal.

Creating Your CrewGo Manager Partner Account

1.   Fill-out all required information in the Partner Sign Up page. See CrewGo Manager Partner Sign Up Fields for more information about the sign-up fields.

2.   Read the Terms and Conditions and Privacy Policy for CrewGo Manager Partner. Tick the box once completed.
3.    Click Sign Up.

4.   You will receive the confirmation e-mail in the e-mail address that you have provided during the registration process.

5.   Click Activate My Account.

6.   You will be redirected to a new tab. This will successfully verify your e-mail address.

7.   Once verified, you can log-in to your account. Enter your e-mail address, password and click Login.

8.   You are now ready to use the CrewGo Manager Partner Portal.

Section 3: CrewGo Manager Partner Portal Home Page

The CrewGo Manager Partner Portal Home Page is the first page that you will see after logging in. It is also called the landing page. You can access different tools and features using the Administrator Utility Bar (AUB) and Central Navigation Bar (CNB) from here.

Administrator Utility Bar (AUB)

The Header Bar is located at the topmost part of the Home Page. It consists of the following:

Central Navigation Bar (CNB)

The Central Navigation Bar (CNB) contains tools and features of the CrewGo Manager Partner Portal. It is located at the top part of the portal page after the Administrator Utility Bar (AUB). It is composed of menu icons which you can hover over your mouse to show the drop-down menu that links to different pages of the portal.

To show the dropdown menu, hover your mouse over the menu of the CNB:

CrewGo Manager Partner Portal Main Home View

The main view of the CrewGo Manager Partner Portal gives you a quick glance at all the jobs. It displays the job by default in Day View.



Section 4: CNB Tabs – JOBS

Adding Jobs Using CNB

There are two ways to add jobs in CrewGo Manager Partner Portal. The Central Navigation Bar (CNB) has two menu icons for this functionality. One is a menu icon for Jobs, with dropdown menu options, and another button to Add Job.

OPTION 1:

1.   Click +Add Job.

2.   Select an Industry. This is a dropdown menu list where you can select the industry for the job that you are creating.

You can add more Industry by updating your Profile or by inviting additional customers.

See Updating Your Profile for more information.

3.   Select Bookings.

4.   Select Start Date using the calendar.

5.   Select End Date using the calendar.

6.   Your selected date(s) will be listed under the Start Date

7.   Enter the Job Title.

8.   Enter the Job Location.

9.   Specify a Meeting Place using maps.

10.   Click Save and Continue.

11.   Once you click Save and Continue, you will proceed to the next step.

12.   Select a Skill for the Job. Depending on the Industry that you have selected, CrewGo Manager will offer you a dropdown list of skills for that industry.

You can add more Industry by updating your profile. See Updating Profile for more information.

13.   Enter the Number of Staff needed for the job. Use the up and down arrows to select the number of staff.

14.   Select Start Time for the start of the time of this shift. This is the time that staff are expected to be at work.

15.   Select End Time for the end time of the shift.

NOTE:  Skills have minimum calls. If you book a job which is less than the set minimum call, the job booking will not push through. For example, a job with a Labourer skill has a minimum call of 3 hours. The minimum call for a skill is set in the Admin Portal. Contact the Administrator of CrewGo Manager and CrewGo for this settings.

16.   Click Add Break

TIP: Add more break time as needed by clicking Add Another Break.

In the example below, we’ve added three breaks:

– Morning Break (15 mins.)

– Lunch Break (1 hour)

– Afternoon Break (15 mins.)

17.   Click Add This Job.

18.   You can now Save Job, View Quote and Book Job.

Save Job: You can save the job for editing later. Usually, this is done for unconfirmed bookings from clients but you want to create a job in advance.

When you click Save Job, the job will be saved for future booking.

View Quote: When you click View Quote, it will calculate the total cost of the job that you are trying to book.

Book Job: If everything is confirmed by the client, you can book this job by clicking Book Job.

Delete This Job: This is for deleting the job you have created. All information will be lost.

19.   When you book a job, CrewGo Manager will automatically generate a Job ID for that job.

OPTION 2:

Instead of clicking + Add Job, click Add Jobs under the Job icon in the Central Navigation Bar.

Edit the Details of the Job 

You can edit the job that you are trying to book by following these steps:

1.   Click Edit this Job.

2.   You will then be redirected to the first step of creating a new job. From this page, you can now edit the information you have previously entered.

Add New Shift to the Job

1.   Click Add New Shift.

2.   A new window under the Add New Shift will appear where you can enter the details of the new shift. You can select the skill from the drop-down menu and the number of staff.

3.   Select the date for the new shift.

4.   Enter Start Time and End Time.

5.   Click Add Another Break and enter the start time and end time of the break.

6.   Click Save.

7.   The new shift is added to the list.

Edit Shift of the Job

1.   In the Shift List page of the job that you are trying to book, click the pencil icon.

2.   You will be redirected to the Edit Shift page. Update the information of the shift which is similar to the steps of Adding New Shift to the Job.

Deleting Shift of the Job

1.   In the Shift List page of the job that you are trying to book, click the trash bin icon.

2.   Click Delete if you really want to delete the shift or click Cancel to retain the shift.

View All Saved Jobs in CNB

1.   Hover your mouse over Jobs in the Central Navigation Bar (CNB).

2.   Click Saved Jobs.

3.   You can now view all the jobs you have saved but never been booked here.

Click the eye icon to view the details of the Saved Job.

The details of the job will be displayed.

View All Jobs Using CNB

In the below Main Home View, you can see that there 2 Jobs which are in progress. These jobs are currently in progress and awaiting completion.

To view these jobs, click Jobs.

This is similar to Viewing Saved Jobs in CNB, but instead of clicking Saved Jobs you need to choose Jobs.

The Jobs page will display all active and upcoming jobs.


Information Columns in the Job View

When you view a job, it will display all the information related to a specific job.

SN: This is the Sequence Number (SN), the chronological order of all the jobs created.

Job Title: This is the combination of a number which is automatically generated by the CrewGo Manager and the Job Title for the Job.

Time-On-Off (D-M-Y): This will display the start and end of the shift. The date is displayed in day, month and year.

Skill>Level: This is the skill needed for the job.

Venue: The location of the job.

Action: You can click the eye icon to view a specific job. Click the pencil icon to edit the selected job.

View All Jobs in the Main Home Page

The Main Home Page provides important information in your CrewGo Manager Partner Portal Account in a quick glance. Depending on your current settings, the Main Home Page can display your Dashboard, Calendar, and Shifts.

In the sample screenshot below, the Dashboard is the first page that the user will see after logging-in in the CrewGo Manager Partner Portal.

NOTE: The configuration of the Home Page of the Portal depends on the settings set by the user or Admin.

Using the Calendar

The Calendar function displays booked jobs in a month, a day, 3 days and 7 days outlook. You can also change the view settings into Job View, Staff View and Calendar View.

1.   Click Calendar.

2.   The default view for the Calendar is the Week View.

Different View Settings for the Calendar

1.   Select the Calendar from the Central Navigation Bar (CNB).

1.   You will be redirected to the Calendar interface. The calendar interface has three different views:

Job View: The Calendar is arranged and sorted according to the booked jobs.

Staff View: The Calendar is arranged and sorted according to the staff assigned to a job.

Client View: The Calendar is arranged and sorted according to the booked jobs of the clients.

You can also choose between Month, Week, 3 Days and Day for the outlook.

JOB VIEW

The Job View in Calendar is arranged according to the job bookings.

NOTE: For the purpose of demonstrating the different views, we will use the Week outlook.

STAFF VIEW

The Staff View in Calendar is arranged according to the assigned staff in job bookings.

CLIENT VIEW

The Client View in Calendar is arranged according to the booked jobs of the clients.

Outlook Settings of the Calendar

The Calendar gives users a perspective of upcoming jobs. They can select from Month, 7 Days, 3 Days and Day.

MONTH

When Month is selected, active and upcoming Jobs are presented in a month-long calendar interface.

When you hover your mouse over a Job, it will display its information.

Click on a specific job and it will display the Shifts of that job under the calendar interface.

Week

The 7 Days view displays the booked jobs in a week-long interface.

Similar with the Month View, you can hover your mouse over a Job to see its details.

You can also click on a Job to show its details. All the Shifts of that particular Job is displayed at the bottom of the Calendar.

In the Shift List, you can Book, Edit, or Delete a shift.

3 DAYS
The 3 Days View is similar to the WEEK. The only difference is that this view has a three-day outlook.

DAY

The DAY View allows users to view booked jobs on the current day.

Viewing a Specific Job in CNB

When you add a Job in CrewGo Manager Partner Portal, it will be populated in the Jobs section. You can view all jobs in progress by following the steps outlined in View All Jobs in the Main Home Page.

1.   To view details of a particular job, go to CNB and click Jobs.

2.   A new page will be loaded displaying all jobs which are in progress.

3.   Select the job that you want to see the details.

4.   Click the Eye icon to view the details.

5.   When you click the eye icon, it will display the Job details for that job.

The Job Details view will display the following information:

– Job Number
– Date
– Job Location
– Meeting Place
–  Shifts

If you clicked the View Quote when you booked a job, it will show you how much to pay for that particular job.

Editing Jobs in CNB

If you need to update or edit something in the Jobs you have created, just simply navigate to the Central Navigation Bar (CNB).

1.   Click Jobs.

2.   You will be redirected to a new page listing all available Jobs in your CrewGo Manager Portal.

3.   Click on the Edit icon.

4.   You will be redirected to the Editing page of Jobs.

When you are in the Editing page of Jobs, the steps are similar when adding Jobs for the first time. See Adding Jobs Using CNB for more information.

NOTE: You can only edit a Job if it has not started yet. The edit function in the Jobs page will not work for all jobs in progress.

Searching Jobs in CNB

Search for existing jobs using the search function in the CNB. This is helpful if you have too many records and you want to quickly access a particular Job.

1.   Click Jobs in the CNB.

2.   You will be redirected to the Search Page.

In the Search Page, you can add filters to narrow or widen your search.

The available filters are the following:

Job Region: Select the Job Region for the job that you are searching for.

Job Number: This is the job number generated by CrewGo Manager. Enter the Job Number

From: This is the start of the date of the range.

To: The end date of the date range.

Staff Name: Indicate Staff Name.

Job Skill: Select from the dropdown list for the Job Skill.

Job Status: Select from the dropdown list for the Job Status

3.   Click Search.

You can click on Reset to remove all filters you have entered and start over again.

 

Section 5: CNB TABS – Shifts


Shifts are recurring periods in a job with different set of staff (or same staff) to do the same job. In CrewGo Manager, it will let you display all on-going and upcoming shifts for a job. Using the Shifts function, you can assign staff in a specific Job in the CrewGo Manager portal.

Viewing All Shifts

You can easily view all Shifts in CrewGo Manager, by using the Central Navigation Bar (CNB).

1.   Hover your mouse over Jobs and click Shifts.

2. CrewGo Manager will display all Shifts. This page will also provide you with various tools and functionalities for each shift in a Job.

3.   Shift List view will display the following information:

Status: It will tell you if there’s a staff in a particular shift. This is also colour-coded depending on the status.

Staff: The number of staff assigned in the shift.

Job ID: The identification number of the job which is assigned automatically by CrewGo Manager.

Date: This is the start date of the Job.

Start Time: The start time for the shift.

End Time: The time when the shift will be finished.

Break Hrs: The total hours of break time in a shift.

Total Hrs: The total number of hours for a shift including break time.

Skill: The skill needed for the shift or job.

Sub-skill: The required sub-skill aside from the main skill.

Location: This is the location where the job is going to take place.

Customer: The customer for the particular shift.

Timesheet: This is the timesheet of the staff.

Colour Codes in Shift List View

The Shift List View is colour-coded to indicate the status of the staff in a particular shift.

Red: No staff has been booked for the shift.

Blue: This is an autobooked shift where CrewGo Manager assigns the most suitable staff for the shift.

Orange: The booking for the job is in progress.

Green: The shift is in progress.

Gray: The shift has been completed.

Further, the colour code also has statuses within them.

 – The required number of staff is not fulfilled.

 – The autobook feature of Shifts is currently booking staff.

 – All staff has been booked by the autobook feature.

 – Booking of staff is in progress.

 – Booking of staff has been completed.

 – This indicates the arrival of staff in the job location.

 – This means that all staff have arrived in the job location.

– Timesheet of the staff has been submitted.

Autobook Staff in a Shift

CrewGo Manager has an autobook function where it will automatically send job offers to the most suitable staff for a shift. The basis of sending offers for Autobook include skills, ranking, location, and other attributes.

USE AUTOBOOK FOR ALL THE SHIFTS

You can make all your shifts to be on Autobook by following the steps below. It means all shifts that you will be creating are automatically on Autobook.

1.   Click Shifts in the Central Navigation Bar.

2.   Activate Autobook for all shifts by toggling it.

3.  A pop-up window will appear to confirm activation of Autobook. Click Yes to proceed.

4.  A pop-up window will appear again to confirm the successful activation of Autobook. Click Close.

5.   All shifts will now be on Autobook.

USE AUTOBOOK TO SELECTED SHIFTS

1.  Make sure Autobook is set to OFF.

2.  Select the shifts that you want to be Autobook by ticking the box of that shift.

3.  Click Auto.

4. Confirm Autobook Shift by clicking Yes.

5. Autobook has been enabled for the selected shift.

Assigning Staff in a Shift

If you want to assign a staff manually in a shift, you can do so by also going to the Shifts in the CNB.

1.   Go to Shifts and select the shift that you want to assign staff by ticking the box.

2.   Click Book.

3.   Assign Staff page window will display options in assigning staff.

Let’s breakdown the Assign Staff page so you’ll have a better and clearer understanding of this function.

The first information that you will see in the Assign Staff page is the shift(s) you have selected. If you selected 10 shifts to assign staff, it will appear in this section. It displays the Job ID/Shift ID, Skill, Date, Start-Time-End-Time, and Customer.

Staff Available: Listed in this section are the staff which are available to take the shifts.

Use the left and right arrow keys to Assign Staff or Offer Job Request.

Assign Staff: You are assigning a staff on a particular shift.

Offer Job Request: You are formally offering a staff a job. You will have to wait for the acceptance of the job from the staff.

When you have assigned a staff in a Shift, the Status will change its colour to orange. This indicates that a staff has been assigned to a particular shift.

You can also choose Offer Job Request to send the offer directly to the staff.

Click Send to confirm. You will see this dialogue box after hitting Send.

When the staff has accepted the job offer, the status in the Shift List view page will change its colour to blue:

Assigning Staff  to Multiple Shifts / Send Staff Job Offers to Multiple Shifts

If you want to assign staff to multiple shifts or you want to send staff job offers to multiple shifts, follow these steps.

1.   In the Shifts List Page, select the shifts that you want to assign staff or send job offers by ticking the box before the shift.

2.   Click Book.

3.  A new window will appear where you can assign staff or offer the job to staff. The shifts that you selected in the previous step will be displayed here.

4.  Drag the name of the staff to either Assign Staff or Offer Job Request.

5.  Click Send.

Editing Shifts

From time to time, shifts will need to be edited due to operational requirements, customer requests, and other factors. A shift can be easily edited in the CrewGo Manager provided it has not started or completed yet.

To start editing a shift, please follow below instructions:

1.   Click Shifts in the Jobs menu of the CNB.

2.   Select the shift that you want to edit by ticking the box beside Status. Click Edit.

3.   The Edit Shift page will be displayed.

Fields that you can edit in the Edit Shift page:

Job Title

Staff: Click on the dropdown arrow to select the number of staff needed for this shift.

Supervisor: Choose the Supervisor for this shift by clicking the dropdown arrow.

Skill: Select the skill by clicking the dropdown arrow.

Subskill: Select the subskill by clicking the dropdown arrow.

Date: Click the date field to show the calendar menu to select the date.

Customer: Select the Customer for this shift.

Start Time: Choose the start time for the shift.

End Time: Choose the end time for the shift.

Total Work Hours: This is calculated automatically when the Start Time and End Time have been entered in the field.

Break Time Fields

Break Start: Enter the start of the break time.

Break End: Enter end of break time here.

Length: The length of the break time is calculated automatically.

– Click the trash bin icon to delete the adjacent break time.

 – Click the plus icon sign to add another break time.

Location: Enter the location of the job here

Meeting Place: If you set a meeting place for all the crew to assemble, put it here.

 – Click the trash bin icon to remove the name of the staff.

Special Weather Provision: You can enter weather information here.

Shift Note: If you have other information that you want to add about the shift, enter it here.

Click Assign Staff if you want to assign another staff for this shift.

Click Send Job Offer to send the job offer to the staff.

If you chose to Offer Job Request in the Assign Staff, the name of the staff will appear here.

4.   Click Save when you are done editing the shift.

Viewing Timesheets

Timesheet is a record of the amount of time a staff has spent in a particular job or project. This is an integral part of calculating payroll. Without this record, it will be difficult to calculate how much to pay your staff.

1.   Go to Shifts and click the eye icon to view the timesheet of your staff.

2.   The timesheet for the particular shift will be displayed.

Hours: This is the actual time that the staff has rendered performing the job assigned to him/her.

Plan: The scheduled start and end time of the shift.

Break Hours: The break hours that the staff has taken.

Total Work Hours: The total number of hours which the staff has performed.

Shift Amount: The amount of shift based on the work performed by the staff.

Section 6: CNB Tabs – Contacts (Staff)

Contacts is one of the most important tool in the Central Navigation Bar (CNB). It serves as a database of your crew, customers, etc. You can also set System Users, invite staff, and invite clients using this feature.

Adding Staff in the Contacts Menu

If you are setting up your CrewGo Manager Partner Portal for the first time, the list of staff is empty. To add new staff, follow the guidelines below:

1.   Hover your mouse over Contacts in the Central Navigation Bar (CNB). Click Add.

2.   You will be redirected to the Add New Staff

3.   Fill out the following fields in the Add New Staff page:

E-mail
First Name
Last Name
Mobile No.
Address

4.   Tick the box if you will allow your new staff to be available in the CrewGo Marketplace.

5.   Enter the time when you can contact your new staff.

6.   Choose the Main Skill of your new staff in the dropdown menu list. The skills listed in this menu depends on the type of Industry. Click Add if you want to add another skill for your new staff.

7.   Provide information on the trainings that your new staff has attended.

8.   Upload the training certification. Accepted format includes pdf, doc, jpeg, png and jpeg. The maximum file size is 10 MB.

9.   Click Add if you want to add another Training for your new staff.

10.  Select Transportation for your new staff:

Has got transportation
Use public transport

11.  Enter the Areas Preferred to Work for your new staff.

12.  Tick the box if you want to include nearby locations, in kilometers and select distance.

13.  Enter the document provided by your new staff. Select from passport and/or driver’s license.

14.  Enter the Document Expiry Date.

15.  Upload the file to the CrewGo Manager server. Accepted format is pdf, doc, docx, png and jpeg with 10 MB file limit.

Induction is an important process in hiring new staff. This is basically the orientation training for all new hires giving them information about the working environment, organizational structure, terms and conditions, etc.

16.  Click Add Induction.

17.  Enter information in the Add Induction page. Click Save.

18.  When you have entered all the required information for your new staff, click Add Staff.

19.  The staff will receive an e-mail invitation from CrewGo. He/She should accept the invitation before becoming part of the active list of staff.

Another way of adding staff to your roster is to invite them directly. This process can be easily done using the Invite Staff function found in the Contacts menu of the Central Navigation Bar (CNB).

1.   Go to Contacts and click Invite Staff.

2.   Fill out the required details of the staff. Click Invite Staff.

3.   Your invited staff will receive the below e-mail invitation. Your staff should accept the invitation before you can assign them to a job. But until then, he will be considered as an Inactive Staff. See Inactive Staff for more information.

Importing Staff

Another way of adding new staff to CrewGo Manager is through the function Import Staff. This is particularly helpful especially if you are adding large data of your staff in CrewGo Manager. Instead of entering the information one by one, you can just import a CSV file to populate their data.

1.    Go to Contacts.

2.   Select Add.

3.   Click Import Staff in the upper right corner of the Add Staff page.

4.   Click Choose File. The only accepted file for this function is a CSV file.

A CSV stands for comma separated values. This is a file format that allows data to be saved in a table structured format. This type of file is generally helpful when dealing with a large amount of data.

NOTE: You must use the CSV template of CrewGo Manager before uploading the file. Do not upload files with more than 2,000 records.

Here’s the template of the CSV file that you should use when using the Import Staff function:

5.   The filename of your CSV file will appear here.

6.   Click Import.

If there’s an error in the upload process, you will receive a warning message which is visible for 10 seconds. There’s a countdown in the upper right corner of the screen.

If your upload has no problem, you will receive a “success” message.

Exporting Staff

When you export data, CrewGo Manager creates a copy of all your staff and then stores the data in a CSV file format.

1.  Click List in the Contacts

2.   Click Export Staff.

3.   The file will be downloaded into your computer.

Inactive Staff

All the staff that you have added in the CrewGo Manager will be considered as an Inactive Staff until they have accepted your invitation.

1.   Click Inactive Staff in Contacts.

2.   The window will display all the staff which have not accepted your invitation.

You can resend the e-mail invitation by clicking the arrow icon. A success message will be flashed on the top of the window to indicate that the e-mail invitation has been sent successfully.

You can also delete an inactive staff by clicking the trash bin icon. A pop-up window will appear to confirm deletion of the inactive staff. Click Confirm if you are really sure that you want to delete this staff.

Sample E-Mail Invitation Received by Staff

When you add a new staff to your CrewGo Manager Partner Portal, your staff will receive this e-mail invitation. They will be added to your active staff list only if they have accepted your invitation.

For the purpose of demonstration, your new staff will only have to click the Accept Invitation in the e-mail that they have received.

Staff are also instructed to complete the following:

1.   Download the CrewGo Staff App. Available on the App Store & Google Play Store.

2.   Complete your Profile. Add your skills, qualifications, inductions and areas preferred to work.

3.   Accept Jobs Offers and start working. Job offers will be sent through via the CrewGo Staff App which you can accept, decline or make yourself unavailable.

Viewing All Active Staff

1.   To view all active staff, hover your mouse over Contacts in CNB and List.

2.   From here, you can view all your active staff.

The List Staff view will display the following information of your staff:

Phone Number
Skills>Sub Skill
Join Date
In CrewGo
Status
Action

If you ticked the box under In CrewGo column, the staff will be available in the CrewGo marketplace. This means that the staff will be available to suitable CrewGo jobs. If the box is unticked, the staff is only available within your organisation.

In the List Staff view, you can also change the Status of your staff by clicking the dropdown arrow.

Active: This means that your staff is in “active” roster. You can book jobs for this staff.
Inactive: You cannot book a job for this staff.
Remove Staff: Choose this option if you want to remove your staff from CrewGo Manager Portal.

Edit Staff Details

1.   To edit staff details, you must first access the List Staff Follow the steps outlined in Viewing All Active Staff.

2.   In the List Staff view, click the pencil icon to go to the Edit Staff Details.

3.   The Edit Staff Details page is divided into tabs.

4.   In the Skills tab, you can Edit the current skill by clicking the edit icon or you can delete it by clicking the trash bin icon.

5.   To add another skill, click the dropdown menu of Choose Skill.

6.   Select Subskill and click Add Skill.

7.   In the Qualifications tab, you can edit an existing qualification or you can add a new one.

Ranking Your Staff

If there are much qualified staff for a particular job, it is advisable to rank them according to their qualifications. In this way, the most qualified staff will get priority over the others. A staff may have more experience, training, and knowledge of a certain skill which makes him/her more desirable for a job.

1.   Go to Contacts in CNB and click Rank.

 

2.   Select Skills and click Search.

3.   In the example below, the selected Skill is Warehouse. CrewGo Manager will display all staff with that skill.

4.   Tick the box Set Skill Ranking.

5.   Rank staff based on their qualifications.

 – Click, hold, and drag this icon to move the staff around.

6.   Click Save.

Staff Ranking Per Shift

You can also set your staff ranking per shift. This ensures that you will get the most qualified staff in your job per shift.

1.   Follow steps 1 – 3 in Ranking Your Staff.

2.   Select Shifts in the left side of the Rank Staff page.

3.   Drag the names of the staff to set ranking.

4.  Click Save.

Priority Assigned means ranking has been specified in this shift.

 

Section 7: CNB Tabs – Contacts (Customer)

The description of different links, buttons, and functionalities for your customers can be found in this section.

In the Main Home Page, you can quickly see your Total Customers.

It also displays your active and inactive customers.

Adding Customers

Customer can be from your own company or another entity. If you want to add another customer, you can easily do that using the Contacts icon on the Central Navigation Bar (CNB).

1.   Hover your mouse over Contacts and click Invite.

2.   The Add New Customer page will be loaded on the screen.

Enter the required information for your new customer:

Mobile No.
Address
Skip Quote

3.   Click the Invite Access

4.   You will receive a Success message if you have successfully invited a new customer.

5.   Your new customer will receive the following e-mail message from CrewGo Manager. Customers should click the Accept Invitation in the e-mail.

View All Customers Using CNB

You can view a list of all your customers using the Central Navigation Bar (CNB).

1.   Click List under Contacts in CNB.

2.   The List Customer page will display all your current customers including their activation status.

Association Status: This indicates if the new customer has been successfully associated in the CrewGo Manager account.
Activation: You will see Active if customer has accepted your invitation. Resend means you have to resend your invitation because customer may have overlooked the e-mail.
Under this column is the Edit icon.

Importing Customers

1.   Click Invite under Contacts in CNB.

2.   Click Import Customer.

3.   Click Download the template.

4.   Enter the details of your customer in the downloaded file and save it.

5.   In the Import Customer page, click Choose File.

6.   Locate the file that you saved in Step 4.

7.   Click Import.

8.   You will receive a success import message.

Edit Customers’ Details

1.   In the Customers List page, click the pencil icon to edit the details of your customer.

2.   Edit the details of your customer and click Update Details once finished.

Section 8: Administrator Utility Bar (AUB)

Similar to the Central Navigation Bar (CNB), the Administrator Utility Bar (AUB) offers users tools and functions:

Settings: This is a component of the CrewGo Manager Partner Portal where you can customize and configure CrewGo Manager based on your requirements.

Notification: To stay aware of all job posting, bookings, and other activities, CrewGo Manager Partner Portal notifies you with the notification feature.

Profile: This is a visual display of your data and information. Basically, this is your online identity when using CrewGo Manager Partner Portal.

Settings

To customize your CrewGo Manager Partner Portal, navigate to the Administrator Utility Bar (AUB). Click the gear icon to access the Settings page.

Notification

Notification is a feature of the CrewGo Manager Partner Portal to alert users of their activities in the platform. The notification will also be sent in the e-mail address registered in their profile.

Here’s a sample of the e-mail notification after booking a job in the CrewGo Manager Partner Portal.

The Notification is located in the upper right corner of the AUB. It is the bell icon right after the Settings .

The Notification icon has a badge number on top to display the number of notification.

– No notification or alert.

– There is one unread notification or alert.

To view notification:

1.   Click the Notification icon.

2.   Click See All Alerts.

3.   You will see all your notifications here.

Notification with a black dot icon under Status column means you have not read that notification.

You will see an eye icon under the Status column once you have read the notification.

4.   Click one of your unread notifications.

5.  A window will pop-up to show the details of your notification.



6.   Click Close to close the notification.

Updating Your Profile

You first setup your profile during the registration process in the CrewGo Manager Partner Portal.

If you need to update your profile:

1.   Navigate to the AUB, and click your profile name.

TIP: You can click your Profile Name or Logo to access the Update Profile Page.

2.   Click Update Profile.

3.   You will be redirected to the Update Profile. From here, you can change or revise your information.

4.   Click Update to save all your changes.

Change Password

1.   Click Change Password.

2.   Enter the following:

  • Old Password
  • New Password
  • Confirm Password

Access FAQ (Frequently Asked Questions)

1.   Click FAQ.

2.   You will be redirected to the  FAQ page of CrewGo Manager.

Access Support

1.   Click Support.

2.   You will be redirected to the  Support page of CrewGo Manager.

Section 9: Finance

View Billing History

Depending on your business structure, you can send your staff to other companies to complete a task or job. For example, if you have staff with warehouse skills and your customers (or other companies) need that skill, you can supply them the needed manpower resource. Once the job is completed, you can send billing to them for the services you have provided. All the billing that you have sent can be found in the Billing History under Billing.

1.   Click Billing History under Finance.

2.   All of the Billing History will be displayed here.

The information displayed are the following:

3.   Click the eye icon to view the actual invoice.

4.   The window will display the actual invoice.

View Customer Invoice

The Customer Invoice is a finance document that signifies services have been delivered and the standing amount that needs to be settled. To view Customer Invoice, follow these steps:

1.   Click Customer Invoice under Finance.

2.   All  Customer Invoices will be displayed here.

3.   Click the eye icon to view the actual invoice.

4.   The window will display the actual invoice.

System Rates

Defined in this section are the System Rates when hiring staff from the CrewGo Marketplace. The rates outlined in here are fixed rates which cannot be modified.

The Wage Rates page also offers options to filter information for the various rates.

You can filter the CrewGo Rates by:

My Rates

Similar with the System Rates, outlined in this section are the rates for CrewGo Manager. The only difference is that you can set the rate yourself or change it on this page.

You can set Special Day Rule by following below instructions:

1.   Enter the Pay Rate either through Manual or Times, then select the Work Hour from the dropdown list.

2.   Click Update Rule.


You can do the same for Overtime, Breaks Not Taken, and Work Hours.


Section 10: System

The System basically contains logs and records of shifts, calls and videos. When you want to review a completed shift or you want to view records of calls, you can navigate to this page.

Viewing All Skills

1.   Go to System in the CNB and click Skills.

2.   The window will display the Skills.

3.   You can change the status of the Skill as Active or Inactive.

Add New Skill

1.   In the Skill List page, click Add New.

2.   The Add Skill window will appear.

3.   The Select Industry from the dropdown menu.

4.   Enter Skills and Subskills.

5.   Enter Required Qualifications. If you need more qualifications, click Add New.

6.   Enter Additional Information. If you need more information to add, click Add New.

7.   Click Save.

Viewing Shifts Logs

To view past or deleted shifts:

1.   Go to System in the CNB and click Shifts.

2.   The window will display the Shifts Log. From here, you can now view deleted or past shifts.

You can also use the Search function in this page. You can filter your search using:

Viewing Call Logs

To view call logs:

1.   Go to System in the CNB and click Voice & Video.

2.   The window will display the Voice & Video logs.

Viewing Staff Reviews

To view staff reviews follow below steps:

1.   Go to System in the CNB and click Reviews.

2.   The window will display all the Staff Reviews.
