Section 1: Getting Started with CrewGo Bookings & Supervisor App

Introduction

Managing an extensive amount of staff and multiple projects can be overwhelming, CrewGo App is here to offer some excellent features to help you manage projects/staff simpler.  Whether you have an urgent job or multiple projects in your schedule, this app will help you to schedule shifts with automated timesheet, quote, invoice and more.

This guide will help you to discover CrewGo App’s features such as GPS tracking, timesheet approvals, assign supervisor users, booking jobs, schedule shifts, manage staff and much more.

CrewGo App is available for free via App Store or Google Play Store.

How to download CrewGo app in your iOS device

1.   Launch the App Store.
2.   Tap the Search icon on the bottom right of your screen.
3.   Type CrewGo in the search bar.

How to download CrewGo app in your Android device

1.   Launch the Google Play Store.
2.   Tap the Search icon on the bottom right of your screen.
3.   Type CrewGo in the search bar.

Section 2: Creating an Account

Create you CrewGo by following these steps:

Account Setup for Bookings

1.   Launch the CrewGo app from your device.
2.   Tap Bookings.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

3.   Tap Sign-up

4.   Fill out the required information and tap Sign Up once finished.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

5.   A successful registration will be displayed on the screen. Now you’re one step closer in using the CrewGo Bookings app.

Activating Your CrewGo Booking App

Now that you have registered an account on your device, an activation e-mail will be sent to the e-mail address that you have provided. Check your junk/spam folder just in case the activation e-mail got delivered there.

1.   You will receive an e-mail after your successful registration.

2.   Click Activate Account.

Logging In Your CrewGo Booking Account

Once you have activated your account, you can now log-in to the CrewGo Bookings app.

1.   Launch the CrewGo app from your device.
2.   Tap Login.
3.   Enter the registered e-mail address and password, then tap Login again.

Account Setup for Supervisor

To have access as a Supervisor, Booking customers are required to Assign or Add a Supervisor to activate the supervisor account. See Job Options and Adding A Supervisor for more information.

Once supervisor user is set up, tap Supervisor to login and enter your login credentials. Supervisors have access to assign jobs, kiosk, manage/contact staff, staff GPS, timesheet edit, timesheet approval, etc.

Section 3: Setting Up Your Payment Method

After you login to the CrewGo Booking app for the first time, it will ask you to setup your payment method.

You can tap Add to setup the payment method now or you can tap Skip to setup payment at a later time.

Use PayPal as Your Payment Method

If you tapped Add in the previous step, you will be asked to choose between PayPal and Credit Card as your payment method.

To use PayPal as your payment method, follow these steps:

1.   Tap PayPal.
2.   Tap Continue.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

3.   Log-in to your PayPal Account

4.   Tap Proceed.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

5.   Your payment details will be updated. Tap OK.

 

 

 

 

 

 

 

 

 

 

Use Credit Card as Your Payment Method

To use Credit Card as your payment method, follow these steps:

1.   Tap Credit Card from the selection.

2.   Enter your credit card details.

3.   Tap Add Card once completed.

 

 

 

 

 

 

 

 

 

 

 

 

 


Once payment method setup is complete, you will be automatically redirected to the app’s Jobs page. This is the default landing page after logging in to the app.

NOTE: Payment method can be changed anytime.

Selecting Partners

Now that you have setup your payment method, you need to select a Partner.

If you have an existing CrewGo Manager account, this page will be the first one that you will see after logging-in.

1.   The CrewGo app will display all the available partners for your account. Select a Partner by tapping its name.

2.   You can also select other partners by tapping Other Partners. This will display a list of preferred Standard Partner. Tap CrewGo to proceed or tap the back icon to return to the previous page, Select Partner.

Note: If you are a CrewGo Manager customer, you will be required to Select Partner every time you log in to the app. As for CrewGo users, the Jobs page is the first page that you will see after logging in.

NOTE: CrewGo Manager customers have Switch Partners function under the menu.

Section 4: Booking Jobs in the CrewGo App

Jobs is one of the core functions of the CrewGo app. You can create jobs, edit shifts, add breaks, etc. using Jobs.

Two Ways to Create Jobs

1.   There are two ways to add jobs in the CrewGo app.

The first one is to simply tap Add New Job on the screen.

Or you can tap the menu icon and tap Create A New Job.

Picking a Job Date

After you tapped Add New Job or Create A New Job, you will need to pick a date for the job that you need to book.

1.   Pick a date by tapping your preferred dates for the job. You can also tap the left and right arrows to change the months.

2.   You can tap a single day or multiple days. You can book jobs up to 45 days. If you want to plan your job schedule which exceeds the 45 days, you can use the Save Job function for future planning.

NOTE: The selected day(s) are highlighted in orange while the current date is highlighted in blue. If the current day is also selected, it will have a blue fill colour and orange outline.

3.   Click Next.

Selecting Job Hours

After have you finished selecting the date(s) for you Job, the app will proceed to the Job Hours. The app will display a tutorial screen on how to select the Job Hour for your job.

This tutorial screen will open automatically every time you are on the Job Hours page. Tap Do not show again to prevent it from showing in the future.

The Job Hours is basically the shift for your job. In the left corner is the hours or time for the shift which you scroll up and down. At the top is the day(s) which you have selected for your Job. Similar with time/hour, you can scroll the day(s) left and right.

To select Job Hours, follow the steps below:

1.   In the left corner is the time for the shift, you can scroll this up and down to select the time for your shift.

2.   If the shift starts at 8:00am and ends at 12:00pm, put your finger on the 8:00am mark and slide it down up to 12:00pm to set the shift for the first day of your job. The selected shift is indicated by an orange bar.

Do this for all the days in your job or you can also set the same shifts for all the days of your job. See Editing Shifts for more information.



NOTE: You can scroll the time from 00:30am up to 23:00pm.

To book an overnight shift via the app, you need to select both days. For example for the job that starts at 21:30 23-Feb and ends at 02:00 24-Feb, both 23-Feb and 24-Feb need to be selected and highlight time. Tap to modify the shift over the 2days.

For 23-Feb, put your finger on the 21:30 mark and scroll it down up to the bottom.

For 24-Feb, put your finger from the top and slide it down up to 02:00.

Tap to modify the shift. Notice that the date reflected is from 23Feb to 24Feb. Tap OK once done.

Editing Shifts

1.   Tap the orange bar under the day that you want to edit shift.
2.   You can edit the shift from this page.

3.   Edit the Start Time and End Time by tapping on it.
4.   Enter the new start time and end time for your shift. Click Done.

5.   If your Job has the same shift all throughout, you can simply tap Same Shift For All Days. All the orange bars will have the same height to indicate the same shifts.

6.   You can also add a break time in the Edit Shift page. Simply tap on the Start Time and End Time under Add Break Times. Select the time of the break time and tap Done.
7.   Tap Add to add break time.

8.   Your break time will be added in the shift as shown in the screenshot. If you want to delete the break time, tap the trash bin icon.

9.   If all shifts have the same break time, tap Same Breaks For All Shifts.

10.   If you are finished editing the shift, tap OK.

11.   All shifts will be displayed on the Confirm Job Hours. Click OK.



11.   Click Next to go to Locations. See Setting Job Locations for more information.

Deleting Shifts

1.   Tap the orange bar under the day that you want to delete shift.
2.   You can delete the shift from this page by tapping Delete.

3.   If you are sure that you really want to delete the shift, tap Delete.

NOTE: If you want to delete all shifts in the job, tap Clear All in the Job Hours page.

Setting Job Location

The CrewGo app allows you to set the location of the job. This is particularly helpful for the staff because they have a guide on where to go to fulfil the job assigned to them.

1.   After setting the Job Hours, the app will proceed to the Job Location. Type the location of the job in the search bar.

2.  Type the first three letters of the location and the app will offer suggestions based on your input. Tap the location if it comes up in the suggestion, otherwise, continue entering the name of the location.

3.   The map will drop a red pin to indicate the location of the job.

4.   You can also enter a Meeting Place for your job. The meeting place is indicated by a blue pin on the map.

5.   Click Next once you are finished setting up the location of the job.

Selecting Industry / Job Skills

Once you have completed setting up the location, it’s now time to select the industry and skills for the job.

1.    Tap Select Industry.
2.   Choose from the selection of available industries.
3.   Tap Done.

You can also Reorder Attributes from this page. Attributes are the qualities/characteristics of a staff that makes him/her stand out from the rest of the employees. The best staff will be chosen in accordance with the attributes that you have set.

 – Tap and drag this icon to reorder the attributes.


4.   Tap Add Skill.
5.   Choose from the selection of available skills.
6.   Tap Done.

There are some skills which you need to specify the skill level. One good example of this is the truck driver. When you choose truck driver as your needed skill, you will need to choose its Skill Level Description.

7.   After you have selected the skill for the job, you will be automatically redirected to the Number of Workers page.
8.   Choose the number of workers.
9.   Tap Done.
10. Click Next to go to the Job Details page.

NOTE:  You can also add extra shifts within the same job in the Number of Workers page by simply tapping Add Shifts. All extra shifts will contain the same job details and the number of workers. You can also Edit Job Hours from this page.

The Job Skill that you selected from Step 5 will be displayed on the Job Skills page.

 – Tap the plus icon to expand the details of the shift

 – Tap the pencil icon to edit an existing skill and individual shift.

Job Details

After you have selected the industry, skill, and the number of workers, you will now be redirected to the Job Details page.

1.   Enter the Job Title for the job otherwise, Job ID will be used as the display name.

Scroll down the page to other information of the Job Details. Tap Qualifications, Inductions, PPE, etc. if you need more information about the staff.

Tap Save Job to save the job for later viewing or editing.

2.   Tap on View Quote to see how much the job cost.

3.   The Total Amount of the Job will be displayed.

NOTE: It is recommended to tap View Quote before booking job so you’ll have an idea on the total cost of the job.

4.   Tap Book Job.
5.   Tap OK.

If you tapped Qualifications, Inductions, PPE, etc. in Step 1, the app will display optional details after booking the job. Tap Save to save this optional details or tap Skip.

The next optional details are the Induction Required. Fill out the details of the induction then tap Save.

6.   Once you have successfully booked the job, you will be redirected to the Schedule page. All your on-going and upcoming jobs are displayed here.

Section 5: Managing Jobs in the CrewGo App

There are times when you need to edit or cancel a job even after it has been successfully booked. The CrewGo app offers tools and functions for you to efficiently manage your job bookings.

The default landing page of the app is the Schedule page. Listed here are your on-going and upcoming jobs which were created under your account.

You can also click the menu icon on the upper-right corner of the screen and tap Jobs.

Staff Status

You will be able to determine the status of a job if the staff has been filled using the colour codes found below the job list on the Schedule page.

Unfilled – the number of staff required for this job is partially fulfilled.

Filled – the number of staff required for this job has been fulfilled.

Open – no staff has been assigned to this job.

Locked – the job is locked by the Administrator.

View Jobs in Calendar

1.   You can view all jobs in the calendar view by tapping the calendar icon in the upper right corner of the Schedule page.

2.   The start date of all your jobs is marked with a circle. You can tap on these dates to display the job under the calendar. Tap on the job to show its details. (See Viewing Job Details for more information)

Viewing Job Details

1.   In the Schedule page, tap the job that you want to view details.

2.   You will be redirected to the Job Details page.

Viewing Timesheet

Timesheet is a record of the amount of time that a staff has spent at work. The accuracy of the information contained in a timesheet is crucial in the calculation of the staff’s payroll.

To view timesheet:

1.   Tap View Timesheet.
2.   The timesheet of your staff for a particular job will be displayed on the next page.

3.   Tap a shift.
4.   You will now have the option to open, edit or approve that shift. From here, you can review the timesheet for each shift before tapping Final Approval.

Opening, Editing and Approving Timesheet

OPEN

1.   Tap Open to view the staff assigned to that shift.

2.   All the staff assigned to this shift are displayed here.

Tap on the message icon under the name of the staff if you want to send a message to that staff. See Messaging Staff> for more information.

Tap on the clock icon to view the details of the timesheet. The timings in this page are based on the actual check-in and check-out of the staff using GPS technology.

NOTE: In the Breaks section of the timesheet, the blue blocks are the planned break times of the one who booked the job. Red blocks are the break times or other times submitted by the staff either manually or through GPS tracking. Times entered by the Supervisor will also appear as red.

If you are in this view and you want to edit the timesheet, you need to:

1.   Tap on the name of the staff.
2.   Tap Edit on the bottom of the screen.
3.   Edit the timesheet then tap Save.

EDIT

1.   Tap Edit to modify the shift.
2.   Edit the details of the shift then tap Save once you’re done.

APPROVE

1.   Tap Approve.
2.   Tap Approve.

Viewing Job Options

You can view all the tools that you need to manage your jobs by tapping Options on the Job Details page.

View Quote of Your Job

You can view the total amount of your job by viewing the quote. This is the first option in the Job Options page.

1.   Tap View Quote on the Job Options page.
2.   This will display all the details of the quote.

NOTE: View Quote option is available when the quote is generated when booking the job.

3.   Tap Email to me to send the copy of the quote in your registered e-mail address.

Create Team

CrewGo Team is a way of grouping staff to make job booking easier. To create a team, follow the below steps.

1.   Tap Create Team on the Job Options page. The app will try to fetch any teams under your account. If there is none, you can create a team on the next page.

2.   Tap Create Team.

3.   Enter the name of the team.
4.   Tap on the name of the staff to be members of the team.
5.   Tap Save.
6.   Your newly-created team will be listed on the Teams page.

7.   You can delete the team or edit it by tapping the icons on the right corner adjacent to the name’s team.

Note that on the Job Options, Create Team has now become Manage Team.

Assigning a Supervisor

Supervisors’ role is pivotal in an organization because of their relationship with the staff. They are responsible to influence their subordinates and coach them to do their jobs more effectively.

You can assign a supervisor in the app by going to the Job Options page.

1.   Tap Assign Supervisor.

2.   If there are Supervisors under your account, it will be listed on the next page. If there is none, you can add a Supervisor.

3.   Tap the add button icon.

4.   Fill-out the details of your Supervisor.
5.   Tap Save.
6.   Tap OK.

7.   The name of the Supervisor will now be listed on the Select Job Supervisor page.

8.   Tap on the name of the Supervisor to assign him as the supervisor. A red check mark will appear beside the name of the supervisor.

9.    Tap Save.

10.   Tap OK.

Note that on the Job Options, Assign Supervisor has now become Manage Supervisor.

Messaging Staff

Constant communication with staff members is crucial in managing your business. The CrewGo app is equipped with a messaging feature so you can get in touch with your staff anytime.

1.    Tap Message on the Job Options page.

2.   Since this is the first time you are using the Messaging feature of the app, the Received and Sent tabs are empty.

3.   Tap Create Message to send a message to the staff.

4.   You will be redirected to the New Message page.

5.   Tap To: to select the recipient of your message.
6.   The app will display the list of your staff and team. Tap on the staff who you would like to send the message to.
7.    Tap OK.

8.   Enter Title and Message. You can also add attachments to your message.
9.   You also have options which you can toggle on and off.
10. Tap Send Message.
11. Tap OK after the message has been sent.

Rebooking a Job

If you have a job with the same requirements as before, you can simply rebook that job to copy its details.

1.   Tap Rebook The Job.
2.   Tap Select New Start Date.

3.   Tap on the new start date for the job.
4.   Tap Done.



5.   Follow the steps for adding a new job. See Section 4: Booking Jobs in the CrewGo App.

Staff Documents

If you need a copy of the documents of your staff, you can e-mail them to yourself using the app.

1.   Tap Staff Documents.
2.   Tap on the documents that you need. Alternatively, you can tap Check All to send all the documents to your e-mail address.
3.   Tap E-mail Selected to me to send the document to your e-mail. You can also tap the mail icon to send the documents to your e-mail address.

4.   Tap OK after sending the documents.

Adding Optional Details

If there are optional details that you need to add to a particular job skill you can add it here.

1.   Tap Add Optional Details.
2.   Tap the ‘+’ icon next to the job skill.

3.   The app will display additional options that you can add in your job bookings.
You can also put another location if the staff is required to finish the job at a different location.

There is a field for special weather provisions.

For additional information that you need to add, there’s the Shift Note. The staff will be able to see this note when they accept the job offer.

4.   Tap Save.

Adding Induction Requirements

Induction is integral to the success of any organization. Staff members are inducted so they will have a better understanding of your business and the required processes that need to be followed. It’s an orientation of how your business operates, your company culture and other valuable information that will help the staff carry out his/her tasks accurately and efficiently.

To add induction requirements:

1.   Tap Add Induction Requirements.
2.   Enter the details of the induction.
3.   Tap Save.

4.   Tap OK.

Reordering Priorities

Attributes are the qualifications of a staff that makes him/her stand out from the rest of the employees. The best staff will be chosen in accordance with the attributes that you have set.

1.   Tap Order of Priorities.
2.   Tap and drag this icon to reorder the attributes.
3.   Tap Save.

4.   Tap OK.


Rating Your Staff

Once a job has been completed, you can make a review of the performance of the staff.

NOTE: The Rate Staff in the Job Options will only appear once the job has been completed.

1.   Tap Rate Staff.
2.   You can rate the staff as a whole or individually. Tap All Staff or tap on the name of the staff.

3.   Move the slider left and right for your rating.

NOTE: You can move the slider of Overall Qualities to set the rating for all the available qualities. You can also move the slider for each individual qualities. The app will calculate the overall rating based on your inputs into the individual qualities. The score is reflected in the Overall Qualities.

You can rate your staff based on the following qualities:

– Skill Level
– Efficiency
– Initiative
– Presentation
– Punctuality
– Friendliness

You can also put your comments on the box after the qualities.

4.   Tap Submit Your Rating once finished.

5.   Tap OK.

Cancelling a Job

There are times when you need to cancel a job because of changes in operational requirements. The app will allow you to cancel a job if it has not started yet.

1.   Tap Cancel Job.
2.   Tap Yes if you really want to cancel the job.

Section 6: Menu Functions

The menu is found on the upper-left corner of the screen. The menu contains functions and tools that can help you manage jobs and staff.

1.   Tap the menu icon.
2.  Listed here are the functions under the menu.

Create a New Job


The first function under the menu is Create A New Job. See Section 4: Booking Jobs in the CrewGo App for more information.

Jobs

Tap on Jobs to see all the on-going and upcoming jobs under your account. This is also the default landing page of the app when you log-in.

Saved Jobs

These are the Jobs which you have saved but unbooked.

Alerts

Alerts are notifications generated by the app to remind you of important information about your jobs. You will receive alerts when a job has started or if a staff has been assigned to a job, and so much more.

1.   Tap Alerts.
2.   All your alerts will be displayed on the next page.

Your Profile

Your CrewGo app profile contains information about your account and other details. It is your identity when using the app.

1.   To view your Profile, tap Profile in the menu.
2.   Your profile will be displayed on the next page.

Changing the Password of Your Account

1.   Tap on Change Password.
2.   Enter your Current Password then nominate a New Password. Then retype your new password to confirm it.
3.   Tap Change Password.

Editing Your Profile

1.   Tap on the edit icon.

2.   Edit the fields that you want to change. Tap Update Profile once finished.

NOTE: You cannot change your e-mail address.

Supervisors

1.   Tap Supervisors.
2.   The app will display all supervisors in your CrewGo account.

To add a supervisor, see Assigning A Supervisor for more information.

Attributes

Attributes are the qualifications of a staff that makes him/her stand out from the rest of the employees. The best staff will be chosen in accordance with the attributes that you have set.

1.   Tap Attributes.
2.   You will be redirected to the Reorder Attribute page. See Reordering Attributes for more information.

Payment

1.   Tap on Payment.
2.   Your payment setup will be displayed here. To change payment setup, tap Change and see Section 3: Setting Up Your Payment Method for more information.


Payment History

When you tap on this function, it will display all your payment history.

Switch Partner


The Switch Partner function is only available for CrewGo Manager Partners. If you are a CrewGo Customer, there is no selection available.

Terms and Conditions

Tap on this function to view and read the terms and conditions of using the CrewGo app.

Privacy Policy

Tap on this function to view and read the privacy policy of using the CrewGo app.

Kiosk

Staff can use the Kiosk if they can’t check-in to their shift using the app on their device.

1.   Tap Kiosk.

2.   Tap on the job location.

3.   Tap on the staff who will need to check-in using the Kiosk.

4.   Staff will need to enter his PIN to check-in to his job.

5.   Tap OK.

6.  The app will be redirected to the Kiosk page.

7.  To exit the Kiosk page, tap the x icon on the upper right corner of the screen.

8.  Supervisor or booking person will need to enter their PIN to exit Kiosk.

Log-out

Tap on this function to log-out from the app.
